How You Will Support Universal’s Mission

The APM will work closely with the project team, supporting all phases of the project lifecycle. Your contributions will strengthen Universal’s ability to execute seamless, high-quality projects while maintaining financial discipline and operational efficiency. Below are the key areas where you will support Universal’s mission:

Invoicing Review and Change Order Management:

  • Review and validate invoices and change orders for accuracy, compliance with project scope, and alignment with budget goals.
  • Collaborate with the project team to track contract modifications, ensuring smooth processing of change orders and timely payments.
  • Apply strong analytical and mathematical skills to accurately calculate quantities and costs for invoicing and budget alignment.

Project Dashboard Management and Reporting:

  • Maintain and develop project dashboards to monitor key milestones, timelines, and deliverables.
  • Coordinate with the project PM to ensure the dashboard aligns with project goals. Flag concerns to the project team as needed.
  • Provide analysis to deliver real-time updates on project progress, risks, and performance for the project team.
  • Utilize proficiency in construction software to generate data-driven reports for cost estimating and project management.

Meeting Coordination:

  • Organize and facilitate meetings with project owners, architects, contractors, and consultants.
  • Track follow-ups and tasks to ensure alignment across the project team, project goals, timelines, and deliverables.

Document Filing and Data Management:

  • Maintain a well-organized project repository for storing contracts, reports, permits, and other critical documents.
  • Ensure data accuracy, security, and accessibility to enable efficient knowledge sharing and seamless handoffs across projects.

Schedule Monitoring and Risk Mitigation:

  • Assist in creating project schedules, outlining tasks, milestones, and dependencies.
  • Monitor schedules proactively to identify delays, manage risks, and recommend corrective actions.

Budget Monitoring, Financial Analysis, and Vendor Payment Oversight:

  • Track project expenses against budget forecasts, identify variances, and implement corrective actions to ensure financial targets are met.
  • Identify scope gaps within the budget to maintain alignment between scope and financial objectives.
  • Assist in verifying progress and scope of work, identifying inconsistencies, and authorizing vendor payments.

Financial Understanding of Construction Projects:

  • Demonstrate an excellent understanding of construction methods, materials, and industry standards to ensure accuracy in budgeting and project execution.
  • Apply financial acumen to support cost management, vendor negotiations, and contract evaluation.
  • Assist with financial reporting, ensuring projects stay within budget while delivering value to Universal’s project team.

Vendor and Contractor Coordination:

  • Evaluate contractor and consultant qualifications, solicit bids, and suggest negotiation strategies to meet project requirements.
  • Monitor vendor performance to ensure quality standards, budget compliance, and timely delivery.

NDA Management and Compliance:

  • Manage NDAs with vendors, contractors, and consultants to protect confidentiality and ensure compliance with Universal’s standards.

Cross-Functional Support and Continuous Improvement:

  • Provide support across all project phases by coordinating activities, prioritizing tasks, and resolving challenges.
  • Contribute to process improvements, explore new tools and technologies, and drive innovation to maintain Universal’s industry leadership.
  • Collaborate with the project Project Manager as needed to support project workflow.
