Job Summary:

Materia is seeking a paid, part-time Accounting & HR Intern to support the company’s weekly accounting, personnel, insurance, and compliance workflows. The intern will gain practical experience with accounts payable and receivable, QuickBooks Online, Gusto, employee and contractor records, and insurance documentation. The position begins at one consistent eight-hour day per week and is primarily on-site in Los Angeles.

Materia is a Los Angeles–based art collection management firm serving private collectors, family offices, artists, estates, and cultural organizations. Founded in 2011, Materia provides collection management, registrar services, art handling, storage coordination, project management, conservation oversight, and advisory services.

Daily Job Responsibilities:

  • Process vendor and contractor invoices, code transactions in QuickBooks Online, organize supporting documents, and prepare accounts-payable items for approval.
  • Prepare draft client invoices, post payments, update accounts-receivable records, and identify overdue balances or missing billing information.
  • Support Gusto administration, payroll preparation, employee and contractor onboarding, and maintenance of confidential personnel records.
  • Process certificate-of-insurance requests and maintain insurance, renewal, vendor, and compliance trackers.
  • Prepare an end-of-day report summarizing completed work, open questions, upcoming deadlines, and items requiring management approval.

Qualifications and Competencies:

  • Current student, certificate candidate, recent graduate, or early-career applicant in accounting, bookkeeping, business administration, human resources, or a related field.
  • QuickBooks Online certification, coursework, or demonstrated practical experience.
  • Basic knowledge of accounts payable, accounts receivable, account coding, reconciliations, and payroll processes.
  • Strong attention to detail, organization, written communication, spreadsheet, and digital file-management skills.
  • Ability to handle confidential financial, employee, client, and vendor information with discretion and to raise questions promptly when records are incomplete or inconsistent.
