We are seeking a Legal Administrative Specialist to provide daily administrative support to the Agency’s Chief Compliance Officer and General Counsel and operational support to the Legal and Compliance functions in a highly professional and confidential manner. The Legal Administrative Specialist represents the C-suite acting as an administrative liaison to Board members, internal staff and external stakeholders.

Crystal Stairs, Inc. is a nonprofit organization dedicated to empowering and advancing child care providers and supporting families in accessing quality early childhood education.

Key Responsibilities:

  • Preparing corporate filings, meeting agendas, minutes and corporate resolutions.
  • Manage the contract routing, execution, and maintenance process for the department.
  • Responsible for a heavy administrative workload that consists of scheduling meetings, filing, processing invoices and timesheets, tracking expenses, ordering supplies, preparing routine correspondence and reports, and assisting with set up for events, trainings and meetings.
  • Assist CCO/GC with coordinating trainings and preparing training materials.
  • Receive and respond to subpoenas, liens and other document requests.
  • Assist with the coordination of insurance renewals and requests for certificates of insurance.
  • Provide administrative support to other C-suite executives.
  • Work on special projects and other tasks assigned by CCO/GC.

Experience, Knowledge, Skills and Abilities:

  • Bachelor’s degree or paralegal certificate required.
  • Minimum of 2 years of experience providing administrative support to a senior level executive.
  • Minimum of 1 year experience working in a corporate legal or compliance department or law firm.
  • Significant experience managing an executive’s busy calendar, including prioritizing meetings and ensuring relevant documents are available or prepared.
  • Ability to maintain and uphold strict confidentiality.
  • Demonstrate strong analytical and organizational skills.
  • Ability to work on multiple tasks with attention to detail.
  • Ability to remain calm under the pressure of tight deadlines and changing priorities.
  • Ability to communicate with tact and diplomacy with all levels of employees including C-suite team, Board members and other stakeholders.
  • Demonstrate excellent verbal and written communication skills.
  • Ability to timely and accurately prepare corporate minutes.
  • Be able to problem solve and drive administrative task forward in the absence of the CCO/GC.
  • Must be technically savvy to quickly learn and operate technology platforms such as Zoom, Agency’s Board portal and intranet site.
  • Actively contributes to the team for the successful completion of projects.
